Sale and Purchase from Customer

Hi

I am thrilled with Solar Accounts and it has made life so much easier. Howver I'm struggling over one thing.

A friend who is also one of our customers 'sold' us a car for the business a while ago. We could not afford to pay him so it was agreed that we would do the work on his car for free as it were. His invoices show the total amount owing then a sum equivalent to the portion which covers labour charges is deducted at the end. How do I record this?

Hi Jean,

Thanks for using Solar Accounts - we're glad you like our software!
To record the purchase from your customer create a credit note and set
the Account to 'Motor Vehicles'. Then create an invoice for the work
you have performed for your customer. Finally allocate the credit
note to the invoice as described here:

I actually do have another question.

I originally came upon Solar Accounts as we have just become registered for
VAT and I was searching for the right package. After finding it so user
friendly I decided to use it for our last year accounts (we've only been
open coming up a year). Unfortunately I did something stupid in that I
started our last year accounts as another 'company' ie Austin Garages 1 and
Austin Garages 2. Now I have got used to it I've realised you don't need to
do that and that you can set the parameters instead and also 'start a new
financial year' etc. Is there any way I can merge the two or do I have to
data entry over again (it's not too bad in that we only started VAT from 01
May 2009) but I've entered a bit now.

Any thoughts?

Hi Jean,

I'm sorry but there is no automatic way to merge Solar Accounts data files - you will have to re-enter the data into the new file. Note that when entering transactions dated before you were VAT-registered the VAT Treatment should be 'Out of Scope'. (Or you can change the business to not VAT-registered, enter the old transactions, then change back to VAT-registered)

You may find it easier just to keep the old data file for the previous year. In this case make sure the closing balance of assets and liability accounts in the old file match the opening balance in the new file.
